How to make a hotel reservation
The Conference hotel: Dubrovnik Palace Hotel, terms and conditions of booking as well as an on-line reservation service link to the AIM Group International Belgium agency is available on the website.
Please make sure to have your reservation confirmed within 21st June 2016. After this date room reservation will not be guaranteed.
Guarantee/ payment of hotel reservation
Every reservation must be guaranteed by credit card. The credit card will be kept as a guarantee for the hotel reservation but no additional cost will be charged on it. An invoice for the deposit paid will be issued by AIM Group International – Belgium bvba.
Any change or cancellation of the hotel reservation must be sent in writing to AIM Group International Belgium. A cancellation fee of 25,00€ will be withheld if refund is requested in writing before July 10th, 2016 and 50% of registration fees if before August 10th, 2016. No refunds will be accepted if requested after that date, (August 10th, 2016). All refunds will be done after the congress.
The registered person can however be replaced without penalties until August 10th, 2016. In this case, please inform the General Secretariat as soon as possible.

When registering for the EFIC2016 – 1st EFIC Topical Symposium Acute and Chronic Joint Pain – please arrange payment of the registration fee. All payments should be made in EURO. You may choose between two methods of payment: credit card or bank transfer. Particularly when paying from outside Belgium, we strongly recommend using a credit card, because charges for bank transfers may be deduced twice – once in the country of origin and a second time in Belgium.

In case of bank transfer by your organization please make sure that your name is forwarded together with the money. If your organization uses a block transfer for several participants it is necessary to include all relevant names.

General Conditions EFIC2016 – 1st EFIC Topical Symposium Acute and Chronic Joint Pain
EFIC 2016 commissioned AIM GROUP INTERNATIONAL BELGIUM with the organisation and execution of the conference. Registration for the conference and confirmation therefore forms a contract between the conference attendee and the EFIC2016 Congress regarding attendance at the conference. This contract is based on the following General Terms and Conditions.
Registration fees and payment for the EFIC2016 Congress
Registration for the conference and booking of services are binding for the attendee. The fees must be paid in advance on the dates specified. Any bank charges will be charged to the payer. Registration will be confirmed if payment is received by the Congress Office by 1st September 2016. Should payments be received after this date, you will receive your confirmation at the Congress Counter in Dubrovnik. In case of late payment please bring a copy of your bank remittance with you.
EFIC2016 Congress reserves the right to make any necessary changes to the program at short notice. There will be no pro rata refund of registration fees for cancelled papers or changes to the program.
Loss of Name Badge
A fee of EUR 25 must be paid to acquire a new name badge in the event that the name badge, which at the same time entitles the holder to attend the congress, is lost. If the attendee is later able to produce the newly acquired and the previously lost name badge, the fee of EUR 25 will be refunded.
AIM GROUP INTERNATIONAL BELGIUM is liable in keeping with diligence required of a prudent businessman, according to the laws of Belgium. Regardless of course in law the liability of AIM GROUP INTERNATIONAL BELGIUM shall be limited to damages which are caused with aforethought or by gross negligence. However, this shall not affect the liability of the Congress Organizer and of the persons or organizations responsible for providing means of transport or other services. The participants take part in all excursions at their own risk. Verbal agreement can only be considered as binding when confirmed by AIM GROUP INTERNATIONAL BELGIUM in writing.
For reasons beyond its control (such as war, strikes, lockouts, riots or any such civil disturbances, any acts of God, including but not limited to earthquakes, floods, droughts and typhoons) and any other cause of circumstance of whatsoever nature beyond its control that have an impact on the arrangements, timetables or planning of EFIC 2016 Congress and its corresponding activities in Dubrovnik, Croatia, EFIC 2016 Congress has the right to immediately alter or cancel the activities or events or any of the arrangements, timetables, plans or other items relating directly or indirectly thereto. No party involved shall be entitled to any compensation for damages that result from such alteration or cancellation.
Place of Performance, Venue of Jurisdiction
Dubrovnik shall be the exclusive place of performance and Brussels venue of jurisdiction for all parties. The laws of Belgium Law shall apply.

Person related exploitation will not be conducted. Statistical analysis of anonymised data is reserved. Collection, use and process of personal data is used for our online services.
In case you register for a congress, reserve a hotel or undertake another booking on our website, we will ask for your name and other personal information we need for the service. We use and process these data only for the purpose of answering your requests, for executing contracts that have been concluded with you and for technical administration. Your personal data will be disclosed or otherwise transferred to third parties only if this is necessary for executing contracts (for example a hotel reservation booked with AIM GROUP INTERNATIONAL BELGIUM), for accounting purposes or if you have given your explicit consent.
Deletion of your personal data
Your personal data will be deleted after the expiration of the storage period required by law, statute or contract as far as they are no longer necessary for the performance of the contract. Data not affected by this will be deleted when the purposes described in the consent lapse. In case a storage period exists the data will be blocked instead of deleted when the purpose of collecting or using the data lapses.
Visibility of your personal data for other users
By giving your consent to the use and processing of your data you agree to the publication of your data (e.g. name, address, e-mail address) to other users so that they become visible to them.
